Booking Policy

This booking policy is to provide an understanding of how travel arrangements are planned, confirmed and managed with Himalayan Pathways. It is written to ensure that the travelers can clearly understand the booking process as well as ensure smooth coordination before and during the trip. Our intention is to keep the process transparent, flexible where possible and fair to both the travelers and the service providers.

By proceeding with a booking, travelers agree to the guidelines outlined below.

Starting the Booking Process

The booking process is initiated by a traveler who contacts Himalayan Pathways to request information about a trip. Our team gives you all the information about itinerary, cost of the trip, services included and not included, and conditions of travel, seasons, and special requirements. At this stage, we help with planning but do not have services reserved until confirmation is completed.

Holding and Securing a Place

To reserve place on trip a booking deposit is required. The amount of deposit is dependent on the destination, group size and type of services involved and will be communicated clearly before confirmation. The deposit gives the Himalayan Pathways the opportunity to fix the necessary arrangements like accommodation, transport, permits and guide assignments.

Availability of services cannot be guaranteed until the deposit is received, especially for high travel seasons or limited permit areas.

Booking Confirmation

A booking is only confirmed once Himalayan Pathways has received the amount required to confirm the booking and sent written confirmation. Once confirmed, we go about final arrangements based on agreed itinerary. After confirmation, changes may be limited on account of the commitments with suppliers and authorities.

Payment of Balance Outstanding

The remaining balance of the cost of the trip is generally payable after arrival in Nepal. This method offers travelers flexibility as well as the ability to make large advance payments. However, certain trips, particularly of Bhutan or Tibet require advance or full payment prior to reaching the destination because of visa processing, permit requirements, and supplier payments. Specific timelines for payment are communicated to the potential user during booking.

Changes to Confirmed Bookings

If travel dates, route details, accommodation or other services need to be changed by the travelers after confirmation they need to give prior notice to Himalayan Pathways. Changes are dependent on availability including additional costs. Any changes in prices will be explained before the changes are made.

Cancellation and Withdrawal

If a traveler decides to cancel a confirmed booking, written notification is required. Cancellation charges depend on how close the cancellation is to the trip start date and on costs already committed for such services as permits, hotels, flights, or transport. Some arrangements are nonrefundable. Detailed cancellation terms are relayed to clients at the time of booking to prevent any misunderstanding.

Travel Documents and Insurance Responsibility

Travelers are responsible for making sure their passports are valid, visas are obtained and required permits are secured. Comprehensive travel insurance is compulsory and should provide cover for medical expenses, emergency evacuation, trip interruption as well as personal possessions. Himalayan Pathways may ask for proof of insurance prior to departure.

Health, Fitness, and Disclosure

Travelers must evaluate their physical and mental preparation for the trip they want to take. Any medical conditions, allergies or special needs should be declared at the time of booking. This enables us to plan responsibly and to support the safety of travellers. Himalayan Pathways reserves the right to refuse participation if a condition poses a risk to the traveler or others.

Group Bookings and Agent Arrangements

Bookings made for private groups or through agents may have different payment and confirmation requirements. In such cases, complete payment in advance may be required. These conditions are discussed comprehensively before being confirmed.

Understanding and Acceptance

By confirming a booking with Himalayan Pathways, travelers understand and accept that they have read, understood, and agreed to this booking policy and the company’s terms and conditions. These guidelines are used to ensure a smooth and well-coordinated travel experience for all concerned.
